Overview

NASA Johnson Space Center’s satellite facility White Sands Test Facility is seeking a Secretary to join our team supporting global aerospace and defense industry propulsion testing.  Candidates are expected to work in an engaging, high-energy environment, work independently and as a team, and be self-motivated with a strong work ethic.

 

Sierra Lobo, offers customers a full range of professional and technical capabilities, including Test and Evaluation, Systems Engineering, and Advanced Technologies.  We also develop products and processes related to Cryogenic Fluid and Thermal Management Systems, Densified Propellant Management Systems, and Prototype Extreme Pressure and Temperature Systems.  Our customers include the Department of Defense (DoD), the U.S. Air Force, U.S. Navy, U.S. Army, Missile Defense Agency (MDA), and the National Aeronautics and Space Administration (NASA).

Responsibilities

FUNCTION OF POSITION

Under general supervision, provides an efficient and professional high-level administrative support to various functional areas to facilitate the efficient operation for the TEST3 Contract. May also perform other duties associated within area of assignment as directed by lead personnel or management.

 

DUTIES AND RESPONSIBILITIES

  • Requires strong verbal and written communication skills. Self-initiator, with problem solving ability and work with competing priorities and demands.
  • Must be organized and task oriented, able to work in a fast- paced, team-oriented environment with multiple deadlines, and adapt readily to changing priorities.
  • Ensure office procedures and systems operate efficiently.
  • Ability to draft and write detailed notes, and prepare reports or presentations, in a clear and concise manner.
  • Detail oriented with the ability to convey information orally and in writing in a clear and concise manner.
  • Proficiency in Microsoft Office software: Word, Excel, Power Point, Outlook
  • Ability to multi-task and prioritize effectively, flexibly, and responsively with the ability to work with diverse work styles. 

 

 SPECIFIC DUTIES  

  • Generate and track purchase request through the appropriate procurement system. 
  • Follow all p-card policies and procedures.
  • Order and track procurement orders.
  • Data entry into Maintenance Tracking Database.
  • Issue maintenance item notifications.
  • Serves at IT point of contact.
  • Tracks and reports mileage for GSA vehicles to GSA coordinator.
  • Serves as primary accountability officer during monthly drills and/or in the event of an emergency. 
  • Tracks calibration status with Engineering groups.
  • Works and coordinates with other department admins to meet deadlines, workloads and events. 
  • Coordinate conference calling and meetings.
  • Create Scan / copy documents.
  • Open / Sort Mail
  • Data entry support (i.e., entering training records)
  • Demonstrate assertiveness (i.e., prioritized workload)
  • Proofreads and edits materials to ensure high quality communications.
  • Answer telephone, leave line, and transmit telephone messages.
  • Maintain business calendar updating, schedule meetings and appointments.

Qualifications

KNOWLEDGE AND SKILL REQUIREMENTS

  1. Secretary II - requires a high school diploma or its equivalent and a minimum of 4 years of experience in the field or in a related area.
  2. Secretary III - requires a high school diploma or its equivalent and a minimum of 8 years of experience in the field or in a related area.
  3. Associate degree preferred.
  4. Must have proficiency of Microsoft Word, Excel, PowerPoint and Outlook
  5. Must be self-motivated and a “Team Player” with good interpersonal and communication skills.

 

PHYSICAL REQUIREMENTS

The Secretary will spend long hours sitting and using office equipment and computers, which can cause muscle strain. The Secretary will also have to do some lifting of supplies and materials from time to time.
